Since the first health system was certified under The Joint Commission's Responsible Use of AI in Healthcare program, hospital procurement teams have started asking vendors for governance evidence — validation studies, subgroup performance, monitoring commitments — and stalling deals when it arrives as a brochure. The Vendor Governance Dossier is that evidence, assembled once, structured the way buyers' governance committees need it, and kept current.

What a dossier contains

  • Model card: intended use, populations, and stated limitations
  • Validation summary with methodology and dated results
  • Subgroup performance — the section committees now read first
  • Monitoring commitments: what you watch, and what you disclose when it moves
  • Update and versioning policy — what changes without notice, and what never does
  • Complete technical action list (for agentic products): everything the system can do, not just what it is marketed to do
  • Security, data-handling and integration summary
  • Incident-communication commitment: who you tell, and how fast
  • The evidence a buyer can pull directly into their own registry

The rule that makes this worth anything

A dossier is verified disclosure, never endorsement. The Institute checks that claims are sourced, dated, and internally consistent — it does not certify products, rank vendors, or accept payment for reviews, which remain entirely separate and unpaid. A dossier says "this vendor discloses properly"; it never says "buy this." That distinction is why buyers trust the format, which is why it shortens your cycle.

Your clearance may already be listed

The Institute's Transparency Registry indexes FDA clearances under AI-associated product codes automatically. Every entry carries disclosure rows — model card, validation publication, subgroup evidence — that update free of charge when you submit a public link. The dossier is the full-service version of the same idea.
